Everything You Might Reasonably Want to Know

Do I need to use the AI part?
No. The spreadsheet and the 30 templates are a complete documentation system on their own, and a week where nobody opens an AI assistant still produces full records. The AI removes typing, not the system — though it is where most of the time saving comes from.
Can my foreman actually use this from a phone?
Yes. Use Google Sheets and every input tab works in the mobile app. The tabs were deliberately designed as short rows of short answers so field entry is practical rather than theoretical. The Daily Log Cheat Sheet is the printable version for the truck.
Will it work if I'm a one-person business?
Yes, and arguably better — there is nobody to chase. Solo contractors typically use the Daily Log Tracker, the RFI Tracker and the Invoice Documentation Tracker, and leave the Timesheet Tracker mostly empty.
Is the AI output safe to send to a client?
Not until a person has read it. Every prompt contains an explicit instruction never to invent measurements, specifications, approvals, quantities or requirements, and to mark anything missing as [TO CONFIRM]. No document containing that marker should ever leave your business. Human review is a stage of the workflow, not an optional extra.
What software do I need?
A spreadsheet program and a document editor. The workbook is a standard .xlsx and opens in Microsoft Excel, Google Sheets, Apple Numbers or LibreOffice. The templates are .docx. The guides are PDFs. Any general AI assistant works for the prompts — ChatGPT, Claude, Gemini or Copilot — including free tiers. No subscription, no app, no account.
How long does setup take?

Crews resist paperwork that is used against them and tolerate paperwork that protects them — the difference is entirely in how it is introduced.
Does this replace my accounting or estimating software?
No. It handles project documentation — daily logs, timesheets, RFIs, invoice supporting documentation and the record index. It does not price work, run payroll or keep your books.
How long before I see a difference?
Daily log completion usually moves within a fortnight, because it depends on a habit rather than a tool. Time savings show up in the Admin Time Tracker from around week four, once the prompts are in routine use. Chapter 12 shows you how to measure both properly, against a baseline week you record before changing anything.
Is this legal, contractual or engineering advice?
